USD COST WORKBENCH / YOUR OWN NUMBERS
What did the program actually cost?
Use one period and one matching appointment cohort. Enter every field; 0 means a confirmed zero, not an unknown quote. All costs are in USD before applicable taxes. Your entries stay in this page’s memory and are not submitted to LeadScorer.
Include tools only once. Contractual billing units follow your proposal; they may differ from accepted held appointments. Applicable tax treatment and invoice terms must be checked separately.
Complete the inputs and keep the cohort counts consistent.
Completed-period inputs describe past economics. Assumed inputs produce a scenario, not a price quote, market benchmark or predicted result. Zero outcomes never produce a $0 unit cost.
COMPARE THE OUTCOME / NOT JUST THE RETAINER
Compare appointment-setting proposals in USD
Save up to three versions of the model above and compare their full cost per accepted held meeting. Keep the period, audience and qualification standard identical. Separate assumed outcomes from verified past results; do not compare one supplier’s forecast with another supplier’s completed cohort.
Complete the valid inputs above before saving a proposal.
Why the lower monthly fee can cost more per useful meeting
Illustrative USD example: $1,800 a month for three months with six accepted held meetings costs $900 per accepted meeting. $2,400 a month for three months with twelve accepted held meetings costs $600 each. These fictional examples assume zero setup, extra tools, internal costs and variable fees, before taxes. They are arithmetic examples, not supplier prices or promised outcomes.
Formula: full cost for the matched period ÷ accepted qualified held appointments. The comparison does not decide which supplier will deliver: ask for the acceptance criteria, replacement rules and evidence supporting each assumption.
Use USD and the same pre-tax cost basis; include retained internal effort even when it is not on the supplier invoice. Snapshots stay in this page’s memory and disappear on refresh. Downloads are created in your browser.
A US appointment-setting price is a scope question first
Research, contact data, messaging, outreach, replies, qualification and meeting coordination can be bundled or charged separately. A per-booking fee and a managed monthly program do not describe the same obligations. Compare the work and acceptance rules before comparing a headline number.
This guide does not publish market price bands or a standard LeadScorer tariff. Use written proposals and your own actual costs. The calculator above is private to the page, uses USD before applicable taxes, and does not generate a quote or forecast.
Identify what is included and what your team retains
Ask each provider to mark included work, separately billed work and client-owned tasks. A lower service fee may leave your team owning list creation, tools, reply handling or most qualification. Those retained responsibilities affect cost and capacity.
| Scope item | Question for the proposal |
|---|---|
| Account research | Who defines, approves and refreshes eligible buying units? |
| Data | Which contact sources and verification steps are included? |
| Outreach infrastructure | Who owns domains, mailboxes, subscriptions and handover? |
| Messaging | Who approves claims, evidence and the service being represented? |
| Replies | Who handles interest, objections, routing and opt-outs? |
| Qualification | Which mandatory checks must be established, and how are unknowns handled? |
| Calendar coordination | Which buyer-local hours and sales slots are supported? |
| Reporting | Are booked, held, accepted and rejected outcomes separately reported? |
| Client sales work | Who prepares, attends and follows up on discovery? |

Phone-based SDR coverage, advertising, closing and technical or professional acceptance are not automatically included in email-and-LinkedIn appointment setting. See the US agency-selection guide for the operational review.
Establish the contractual billing unit
A proposal can bill for setup, monthly work, an agreed outcome unit or a combination. Ask what makes that unit chargeable, when it is assessed and what evidence supports it. A booking, held meeting and accepted qualified held meeting need not be equivalent under the contract.
Document duplicates, protected accounts, unsuitable attendees, reschedules, no-shows, rejection deadlines and any replacement obligations. Do not assume “pay for performance” means no fixed costs or that every outcome can be refused after the sales call.
Use qualified-appointment definitions and the sample sales handoff to agree the fit standard. The billing decision should remain traceable to the actual agreement.
Put every input on one period and currency basis
Choose a completed reporting period and a matching appointment cohort. Allocate setup explicitly; use only the internal campaign cost actually retained for that period. Count bundled software once. Keep contractual billed units separate from the number of accepted held appointments.
If a proposal is in another currency, convert all relevant costs to one USD basis using an agreed rate and date before entering them. Do not add dollars and pounds in the same model. Applicable taxes, invoice treatment and payment terms need a separate review; this tool does not calculate them.
| Calculator input | Meaning |
|---|---|
| Months | The period covered by the recurring service input |
| Setup allocated | The portion of setup assigned to this period |
| Recurring service | The monthly program fee, multiplied by months |
| Tools and data | Separate period costs not already bundled |
| Retained internal cost | Your team’s included campaign cost for the same period |
| Fee per billing unit | The contractual charge for one defined unit |
| Units billed | Actual contractual units for the period |
| Booked, held, accepted | Separate statuses from the same appointment cohort |

Every field is required. Enter 0 only when you know the value is zero. An unknown quote is not a free service, and an unmeasured outcome is not a measured zero.
Calculate costs without changing the denominator
Total program cost = allocated setup + monthly service × months + separate tools/data + retained internal campaign cost + outcome fee × billed units.
Cost per held appointment divides that total by held appointments. Cost per accepted qualified held appointment divides it by held appointments accepted under your criteria. Attendance divides held by booked; acceptance among held divides accepted by held.
The calculator rejects negative, missing and invalid values, fractional counts, periods outside 1–60 whole months, held counts above booked and accepted counts above held. Zero held or accepted outcomes produce an unavailable unit cost—not $0. Billed units can differ from accepted outcomes because the contract defines billing separately.
Inspect a fictional dollar example
The following is invented to demonstrate the arithmetic. It is not a market benchmark, LeadScorer pricing or a delivered campaign.
| Input | Fictional value |
|---|---|
| Period | 3 months |
| Allocated setup | $900 |
| Monthly service | $1,800 |
| Separate tools/data | $450 |
| Retained internal campaign cost | $1,200 |
| Fee per contractual unit | $100 |
| Billed units | 10 |
| Booked / held / accepted | 16 / 12 / 10 |

Total cost is $8,950. Cost per held appointment is approximately $745.83; cost per accepted qualified held appointment is $895. Attendance is 75%, and acceptance among held is approximately 83.3%. These rates describe only the fictional cohort.
Change those inputs in the workbench, download the model and inspect its assumptions with the person responsible for the proposal. Assumed inputs describe a scenario, not predicted delivery.
Keep revenue analysis downstream and comparable
A meeting is not a won customer. Opportunity conversion, sales cycle, margin, collected payment and retained customer value remain separate business measurements. Do not call booked pipeline collected revenue or apply another sector’s close rate to your forecast.
Agency discovery calls, accounting consultations, SaaS demos, industrial capability reviews and shipper discussions have different downstream processes. Use your own evidence and cohort definitions. The outbound metrics guide helps structure the chain without replacing unknowns with flattering assumptions.
Check terms that affect the true commitment
Review minimum term, notice, setup refundability, fee caps, tool ownership, data export, handover and any remaining payment obligations. Ask what changes when your calendar is full or mandatory account information is missing.
Cost controls are not the only review. Inspect audience, sender and data responsibilities against the FTC commercial email guide and the relevant privacy review, including California’s applicability overview where appropriate. This workbook is not a legal or tax opinion.
Bring the complete scope, denominator rules and model to a US campaign discussion. A proposal is easier to evaluate when the work, costs and meaning of its outcomes are visible.
How to use this B2B outbound resource
Compare like-for-like scope
Keep research, outreach, qualification, tools and retained work visible before comparing proposals.
Use a consistent dollar basis
Enter your own USD costs for one reporting period; assess applicable taxes separately.
Distinguish billing from quality
Contractual billing units and accepted held meetings can be different counts.
Avoid misleading unit costs
Blank inputs stay unknown; zero outcomes cannot produce a zero-dollar cost per meeting.
Export the assumptions
Download the complete model, formula and caveats without sending your financial entries.
Apply this to your outbound decision.
Start with your actual offer, market, qualification requirements and the work your team can own. Examples and calculator estimates are not campaign guarantees.
